SWIM TEAM COMMITTEE RESPONSIBILITIES
President/Team Rep: Attend MSSL league meetings, work with head coach, compiles team roster on Hy-Tek Team Manager, attends homeowner’s board meetings, coordinate committee chairs and coordinators, & conducts new parent orientation
Vice-President: Work with President, takes notes at team committee meetings, in charge of end-of-season banquet/party and games
Treasurer: Collect registration and fundraising money, in charge of team funds—expenses and keeping checking account balanced
Concessions Coordinator: Operates concession stand by deciding what will be sold, how much to charge, ordering and purchasing items to be sold, working the stand at home meets
Ribbons Coordinator: Collects ribbons after meets from Head Coach, sorts by names, & gives to coach for distribution at the next practice
Spirit Coordinator: Select team suit, swimmer of the week caps, arrange suit and goggles sales with D&J Sports manager at first practices or registration, donuts/orange juice breakfast, determines fast food restaurant the team meets at after a meet & brings team banner to meets. In charge of design, ordering, and distribution of team t-shirts to swimmers & parents.
Volunteer Coordinator: Obtains meet officials, gets volunteer officials to attend certification clinics, responsible for stopwatches for EVERY meet, & recruits meet volunteers (scorekeeper, ribbon personnel, runners, ready bench, & timers)
MEET VOLUNTEERS RESPONSIBILITIES
REFEREE: A two-year veteran certified (league or nationally) judge. He/she runs the meet, serves as take-off judge, calls swimmers to the blocks using the whistle procedure, resolves disputes, & can disqualify any swimmer from anywhere in the pool area. (NOTE-The ref can serve as both ref and starter if need be.)
STARTER: Serves as a take-off and finish judge, announces each event, and sounds the official starting signal.
STROKE & TURN JUDGE: Walks along side the pool to inspect strokes in his/her half of the pool lanes, and can disqualify a swimmer based on his stroke or turn/finish at the wall.
Referees, Starters, & Stroke Judges MUST ATTEND AN ANNUAL LEAGUE JUDGES’ CLINIC
SCOREKEEPER: MUST ATTEND LEAGUE SOFTWARE CLINIC
Using the Meet Manager software and the visiting team’s entry disc, the scorekeeper, team rep, or the head coach merges meet entries by the home and visiting teams. He or she may produce the heat sheet or program to be sold at the meet and given to the teams reps when they arrive at the meet. During the meet he/she inputs and maintains the master score sheet in the computer by inputting official times on a numeric key pad, prints ribbon labels, and prints the official score sheets at the meet’s end. At the meet’s end, scorekeeper secures the referee and head coach’s signature on the official score sheet to be filed with the league. He/she prints each team a copy of the meet scores and downloads the meet results onto the visiting team’s disc, or e-mails a copy of the meet to the visiting team and the league VP, and sends the scores to the MSSL webmaster. If the electricity or software fails, the meet will be scored by hand. The Excel score sheet must be printed off the league web site in case of a power failure occurs. In that case the ribbon labels would have to be printed by the home team, affixed to the ribbons, sorted by teams, and delivered to the visiting team once the meet has been entered into the software.
THE JOBS BELOW DO NOT HAVE TO ATTEND A CLINIC:
RIBBONS: Sticks the labels onto the backs of the appropriate ribbons and separates the ribbons into the proper team’s box.
RUNNERS: Collects the lane timer sheets from the lanes and takes it to the scorekeeper’s table at home meets.
TIMERS: 3 timers per lane FROM BOTH TEAMS use stop watches to correctly record the swimmer’s completion time for each event.
CONCESSIONS: Three people who plan, purchase, serve, and collect money for all food items sold at the team concession stand at all home meets.
EVENT BOARD: One volunteer is needed at each home meet to write the current event/heat number on a dry erase board. Very easy job poolside with a great view of all the races.
READY BENCH PARENTS: Uses the heat sheets to assist coaches by calling swimmer’s names to line them up to go to the ready bench staging area.
EQUIPMENT SETUP & TAKE DOWN: Workers set up equipment before meets and pack equipment after meets (both home and away). They also coordinate clean up of the pool area and parking lot after home meets.
